The task of setting up a full scale arcade for 2 days is no easy task. While we are able to provide a portion of arcade and pinball games to the event we rely on games from vendors and private owners/collectors like you!

Have the ability to hang banners and/or other marketing materials on your machine or in the arcade room and reach thousands of potential customers

We cannot be responsible for issues that may occur to games during use however all games will be monitored by RWE staff. All games supplied must remain in the arcade room, must be set to free play, should be in good working condition and must be playable throughout the event.
WHAT TYPE OF GAMES ARE WE LOOKING FOR?
We are looking for original or conversion arcade cabinets, pinball machines, racing cabinets. Please no mame cabinets or 60-in-1 cabs
WHEN DO I LOAD IN MY GAMES?
The best day to load in your game is on Friday between 9am and 5pm. The event opens to the public at 10am on Saturday. You do have the option to load in on Saturday morning between 7am and 9:30am but keep in mind that the machine must be loaded in by 9:30am the latest.
We highly recommend that you load in your game on Friday to avoid all of the other exhibitors who will be loading on Saturday morning.
HOW LONG MUST MY GAME STAY AT THE EXPO?
If you bring a machine you agree to have the machine up and running for the entire expo. The expo ends at 6pm on Sunday and your machine can be loaded out at the time. We may also have the option to do a Monday load out. If you sell your machine prior to the end of the show your buyer must pick up after the show.
WHAT IS THE CHECK IN PROCESS?
When you arrive on Friday or Thursday morning you will be greeted by either venue staff or expo staff who will direct you to the side of the building for load in. The load in area has double doors on ground level and the arcade machine area is within 25 feet of the load area. Staff will take your name and the name(s) of the machines you have brought. They will be plugged in and verified that they are in working condition. You will also receive your raffle ticket(s), free passes and T-Shirt/Pins at this time.
If you have any banners or signs you would like to hang in the arcade room they should be hung up at load in time and not while the event is in progress.
IS THERE ANYTHING I SHOULD DO WITH MY MACHINES PRIOR TO COMING TO THE SHOW?
All machines should be tested and in good working condition and wiped down to make sure they are clean. All games need to be set to FREE PLAY. If you machine does not have free play it should be loaded up with as many credits as possible the day of the event or a button should be installed to activate the credits. Also make sure the sound is at a decent level and not too loud.
CAN I SELL MY MACHINE AT THE EXPO?
Absolutely! By bringing your machine to RWX you are reaching thousands of potential customers. You may place either your own sign or one provide to you by the expo with your name, phone number and price on the machine. Please understand that your buyer must pick up the machine after the event. You may also enter your machine into our high end premium auction which will take place on Saturday evening.

RULES AND REGULATIONS
You must provide your own transportation for the machine(s) to the event. The event has ground level loading and there is easy loading in/out to the arcade room. We may have volunteers/event staff at the event to help you load/unload but please be prepared to bring the machine into the venue and set it up yourself.
We will provide electrical outlets to plug the machine in. The event has high quality power distribution equipment. Please bring extension cords if you have them.
All games must be set to free play for the event. If your game does not have free play please load up as many free credits the morning of or install a button to trigger the credits.
All games must be in good, cosmetic and working condition. Please do not bring any machine(s) that need repairs or are not working properly. If a machine has issues or goes down during the event you agree to try to fix the problem as soon as possible.
RetroWorld LLC or the venue is not responsible for any damages incurred during the event.
You agree to leave your machine set up and playing until Sunday after 6pm.
